Open the app before you move
Most airline apps present rebooking options within seconds of a cancellation, often before an agent could. Take the best available option immediately — you can improve on it later, but you cannot un-take a seat someone else got.

Start a second and third channel in parallel
While the app is loading, call the airline and put the phone on speaker, and walk toward the customer service desk. Three queues at once costs nothing and one of them will connect first. During a large disruption, calling the airline's foreign-language or international line often reaches an agent far sooner.

Know what you want before you reach an agent
Have two or three specific alternatives ready: named flight numbers, nearby airports you would accept, an overnight if necessary. Agents move much faster against a specific request than an open-ended one.

If the alternative offered does not work for you, you are entitled to a full refund to your original form of payment. On carriers with low route frequency — Allegiant, Avelo, Breeze — the next flight may be days away, and the refund is often the better choice.

Meals, hotel and ground transport depend on whether the cause was within the airline's control. Mechanical, crew and IT failures are controllable; weather and air traffic control are not. For controllable cancellations, every major US carrier has published commitments the DOT enforces.
If it departed Europe, the UK or Canada
Record the flight number, the scheduled and actual times, and the reason the airline gave. A cancellation with under 14 days' notice on a flight departing the EU or UK triggers EU261/UK261 compensation of €250–€600 or £220–£520 per passenger — cash, on top of any refund.
Flights to, from or within Canada fall under APPR, with CAD 400–1,000 for causes within the airline's control.
